2. What we collect
| Source | Data | Why |
|---|---|---|
| Enquiry form | Name, email, company, country, message and how you heard about us, with the page you sent it from, the page before it and where your visit began (see section 9) | To answer your enquiry, and to learn which pages and channels bring enquiries |
| Booking a consultation | Name, email, time zone, and the answers to any questions on the booking form | To schedule and hold the meeting |
| Paying for a consultation | Handled entirely by PayPal. We receive confirmation that payment succeeded and never see your card or account details | To take the consultation fee |
| Email correspondence | Whatever you send us | To provide the service |
| Business contact details published by your organisation | Name, role and work email address, as your organisation published them on its own website or event page, and the page we found them on | To introduce our services once, with one follow-up at most, where they are relevant to your role. Reply “unsubscribe” and we stop, keeping your address only on our do-not-contact list |
| Becoming a client | Contact details of your staff, company information | To perform the contract |
| Website use | Cloudflare Web Analytics, which runs on this site through Cloudflare’s automatic setup and uses no cookies: aggregated page views, referrer, country, device and browser type, and page-load performance, processed by Cloudflare. Also up to three small items kept in your own browser, described in section 9. | To understand which content is useful and how well the pages load |
What we deliberately do not collect
We do not collect passport or identity-document images, criminal-record certificates, biometric data, health data, or financial-account details. If you send us any of these, we will ask you not to and delete them.
This is a deliberate design choice: our services do not require sensitive personal information, so we have no business reason to hold it.
3. Legal basis
Under the PRC Personal Information Protection Law we rely on your consent (enquiries, marketing) and on necessity for concluding or performing a contract to which you are a party (client work). Where the law of your own country also applies to us, we handle your information in line with it, including, for visitors in the EEA or UK, consent or legitimate interests. For business contact details your organisation has published, we rely on the Law’s allowance for handling information already lawfully made public, within a reasonable scope (Articles 13 and 27), and, in the EEA or UK, on legitimate interests.
4. Who sees it
- Our own team in China.
- Service providers we use to run the business. Each receives only what it needs to do its job: Microsoft (email and file storage), Web3Forms (delivers the enquiry form to our inbox), Cal.com (consultation scheduling), PayPal (payment for consultations), and Cloudflare (hosting, website analytics, and records of orders placed before September 2026).
- Anyone else: only with your prior consent, and only the information needed.
We never sell your personal information.
5. Sending information outside China
Most of the service providers above operate outside China, so sending the enquiry form and booking or paying for a consultation each involve a transfer of your personal information abroad. Our business email runs on Microsoft 365, which is also operated from outside mainland China, so correspondence you send us is held there too. We tell you this plainly rather than implying a purely domestic footprint we do not have.
Your engagement files do not leave China. Once you become a client, the working file for your engagement (what you send us, our work product and its source records) is held on an encrypted business drive operated from within mainland China, not on the overseas services above. That is a deliberate choice: it means the substance of your matter is not a cross-border transfer at all.
| Overseas recipients | Web3Forms (enquiry-form delivery). Cal.com, Inc. (United States): scheduling. PayPal (United States and its regional entities): payment. Cloudflare, Inc. (United States): hosting, website analytics, and records of orders placed before September 2026. |
|---|---|
| Purpose | To deliver your enquiry to us, to let you choose an appointment time, to take the consultation fee, to understand how the website is used, and to keep records of past orders |
| Categories | Web3Forms: what you type into the enquiry form, and the page and visit details the form adds (section 9). Cal.com: name, email, time zone, and anything you type into the booking form. PayPal: the payment amount and whatever PayPal itself collects to process it. We never receive or store your card or account details. Cloudflare: the website-use data in section 2; for orders placed before September 2026, the order record as submitted at the time. |
| Method | Web3Forms, Cal.com and PayPal: directly from your browser to the provider at the point you act: send the form or open the booking panel. Nothing loads and nothing is sent to them before that. Cloudflare: as each page loads, because Cloudflare serves the site and measures its use. |
| Safeguards | Each is an established provider with its own published privacy terms and security programme. We take back into our own systems only what we need to answer you or hold the appointment. |
| How to avoid it entirely | Don’t use the enquiry form or the booking panel. Telephone us on +86 190 5733 8460 instead and we will take the instruction and arrange a time another way. A voice call to a Chinese number involves none of the providers above. |
Your consent is separate and specific. Nothing reaches Cal.com or PayPal unless you actively click to open the booking panel. If you would rather not have your information leave China at all, telephone us on +86 190 5733 8460: a voice call to a Chinese number reaches none of the providers above, and we will take the instruction another way. You lose nothing but the convenience of self-service.
Note that email is not that route: our mailbox runs on Microsoft 365, which is operated from outside mainland China, so writing to info@yimichina.com is itself a transfer.
6. How long we keep it
| Data | Period |
|---|---|
| Enquiries that do not become projects | 12 months |
| Business contact details from a published page, where you have not replied | 12 months from our last email. If you ask us to stop, only your email address, on our do-not-contact list, for as long as we send such emails |
| Client records | 3 years after the engagement ends |
| Contracts, invoices, payment records | 10 years (PRC accounting rules) |
| Records of orders placed before September 2026 | At least 3 years from the transaction (PRC e-commerce rules), then handled as a payment record above |
| Consent records and impact assessments | 3 years |
7. Your rights
You may access, copy, correct, supplement and delete your personal information, withdraw consent, ask for an explanation of our handling rules, or transfer your information to another handler. Contact privacy@yimichina.com. We respond within 10 working days.
Withdrawing consent does not affect processing already carried out. If you are not satisfied, you may complain to the competent authority in your jurisdiction.
8. Security
Encrypted cloud storage, two-factor authentication on all business accounts, least-privilege access, a written internal policy, and scheduled deletion. If a breach occurs that may harm you, we will notify you and the relevant authority.
9. Cookies, analytics and browser storage
This site uses no advertising or tracking cookies. Only strictly necessary cookies (if any) are set. If a cookie that is not strictly necessary is ever added, this section will list it in a cookie table, and a consent banner that defaults to rejecting non-essential cookies will ask you first.
Analytics. Cloudflare Web Analytics runs on this site through Cloudflare’s automatic setup. It sets no cookies. It records aggregated page views, the referring site, country, device and browser type, and how quickly pages load, and it is processed by Cloudflare, Inc. (United States).
Browser storage. Up to three small items are kept in your own browser, not in cookies:
-
yimi-dock-collapsed(local storage) is saved only if you click to hide the contact panel, so that it stays hidden on your later visits. It holds the value “1” and nothing else, is never sent anywhere, and is removed when you open the panel again or clear this site’s data in your browser. -
yimi-first-touch(session storage) records where your visit began: the campaign tag of the link you followed (utm_source, and utm_medium, utm_campaign or utm_content if the link has them) or, without a tag, only the name of the website that sent you; and the first page you opened here. It is saved only if you agree in the short notice that appears when you arrive on a tagged link or from another website. Until you agree, or if you decline, nothing is saved: only the page you arrived on knows where you came from, while it stays open, and an enquiry sent from that page includes it as described below. Nothing is saved for a direct visit. Your browser deletes it when you close the tab. It is used only to tell us how an enquiry found us, and it leaves your browser only inside an enquiry you choose to send: as two fields of the enquiry form and, if you followed a tagged link, as a short reference at the end of the WhatsApp message this site suggests, which you see and can change before sending. -
yimi-visit-consent(local storage) records your answer to that notice, “yes” or “no”, so that we do not ask again. It is never sent anywhere. You can change your answer at any time with Privacy choices at the foot of every page; answering “No thanks” also deletes anyyimi-first-touchrecord already kept.
10. Children
Our services are for businesses. We do not knowingly collect information from anyone under 14.
11. Changes
We will post any change here with a new “last updated” date. Material changes affecting your rights will be notified directly where we have your contact details.
